01Who we are

SWELDO+ (sweldoplus.depeddavor.com) is the payroll and loan management system of the DepEd Schools Division Office of Davao Oriental. Authorized division personnel, loan verifiers and partner lending institutions (PLIs and GFIs) use it to process payroll deductions and employee loan applications.

This policy explains what information SWELDO+ collects, how it is used and protected, and the choices you have.

02Information we collect

Account information: your name, username, email address, role and the institution you represent, provided when your account is created.
Payroll and loan records: employee details, salary deductions, loan applications and supporting documents entered or uploaded by authorized users as part of official work.
Activity records: actions such as approvals and changes are recorded in an audit trail for accountability.
Cookies: SWELDO+ uses one session cookie to keep you signed in. It does not use advertising or tracking cookies.

03Gmail integration (Google user data)

Loan verifiers and PLI/GFI users may choose to connect their own Gmail account to read and answer loan-related email inside SWELDO+. Connecting is optional. (Outlook is covered in the next section.)

Access requested: SWELDO+ asks Google for the gmail.modify permission. It lets SWELDO+ read your messages and attachments, send email when you click Send, and change labels when you ask it to (mark as read or unread, star, move to Trash). It cannot permanently delete email.
When it is used: only while you are signed in to SWELDO+ and open the Gmail page or take an action there. SWELDO+ does not scan or process your mailbox in the background.
What is stored: your Gmail address, the access tokens Google issues (encrypted with AES-256), and a short-lived count of unread email. Messages and attachments are fetched from Google when you view them and are not saved in the SWELDO+ database. Files you attach while composing are passed to Gmail and not kept.
Who can see it: only you. Your mailbox is not shown to other SWELDO+ users, administrators or lending institutions.
What we never do: sell Google user data, use it for advertising, use it to develop or train artificial intelligence or machine-learning models, or let people read it, except with your permission, to investigate security problems, or when required by law.
Disconnecting: click Disconnect on the Gmail page, or remove SWELDO+ at myaccount.google.com/permissions. Disconnecting deletes the stored tokens and revokes SWELDO+’s access.

SWELDO+’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

04Outlook integration (Microsoft account data)

Loan verifiers and PLI/GFI users may also connect their own Outlook.com, Hotmail or Microsoft 365 mailbox. Connecting is optional.

Access requested: SWELDO+ asks Microsoft for the Mail.ReadWrite, Mail.Send, User.Read and offline_access permissions. They let SWELDO+ read your messages and attachments, send email when you click Send, mark email as read or unread, flag it, move it to Deleted Items, read your account’s email address, and stay connected without asking you to sign in each time. SWELDO+ does not permanently delete email.
When it is used, what is stored and who can see it: the same as for Gmail above. Your mailbox is opened only while you use the Outlook page; only your mailbox address, the encrypted access tokens and a short-lived unread count are stored; messages and attachments are not saved in SWELDO+; and only you can see your mailbox.
What we never do: sell Microsoft account data, use it for advertising, or use it to develop or train artificial intelligence or machine-learning models.
Disconnecting: click Disconnect on the Outlook page, which deletes the stored tokens. You can also remove SWELDO+ from your account at account.live.com/consent/Manage (personal accounts) or myapps.microsoft.com (work or school accounts).

05How we use information

To run payroll and loan processing, verify applications and compute deductions.
To notify users about the status of loan applications.
To keep the system secure, investigate misuse and maintain audit records.
To comply with government accounting, auditing and records requirements.

07Retention

Payroll and loan records are kept as required by government records-retention rules. Gmail tokens are kept until you disconnect or Google revokes them. Session data expires shortly after you stop using the system.

08Security

SWELDO+ uses role-based access, encrypted connections (HTTPS), encrypted storage of Google tokens and an audit trail. Passwords are stored as hashes, not in readable form. No system is perfectly secure, so please report anything suspicious using the contact below.

09Your rights

Under the Data Privacy Act of 2012 (Republic Act No. 10173), you may ask to access or correct your personal information, object to its processing, and file a complaint with the National Privacy Commission. To make a request, contact the SWELDO+ System Administrator at the DepEd Schools Division Office of Davao Oriental.

10Changes to this policy

We may update this policy. The effective date above shows the current version, and significant changes will be announced in SWELDO+.
